Under the leadership of the Vice President, the Project Coordinator will work closely with the Senior Director of Regulatory Affairs, Manager of Compliance, MassHealth Key Contact and the Accreditation Manager in carrying out key initiatives related to regulatory compliance, compliance with the MassHealth contract, compliance with NCQA requirements and legislative affairs.
The primary responsibility of the project coordinator will include coordination of all activities associated with Compliance. The Project Coordinator will work with the Compliance team to maintain process and data integrity for compliance operations. He or she will work with the users to identify and document opportunities for process improvements including leveraging technology. The individual will be responsible for maintaining master data that is critical to maintaining organizational compliance. Additionally, the Project Coordinator will prepare written business requirements for system and process improvements.
The Project Coordinator participates in departmental and corporate project teams and plays a critical role in project planning and implementation by soliciting requirements through interviews, workshops, and or existing systems documentation or procedures and ensuring that all impacted processes and systems are evaluated. He or she works closely with the Compliance team and business partners in assisting with the definition, testing, implementation, documentation, training and support for new processes and business systems.
As a member of the Compliance team, he or she will have an opportunity to improve accessibility to key business information, ensure process integrity, and develop process flexibility which contributes to the success of NHP.
# Day-to-Day Operations
Maintain flexibility in the VP and Senior Director's schedule including one-on-one meetings, committee meetings, and staff meetings This role includes negotiating schedules with other assistants both within and outside of NHP.
Maintain a comprehensive and searchable inventory of Compliance Office documents for easy retrieval.
Produce correspondence and maintain a chronological log file
Research pertinent information as requested
Manage logistics associated with audit, contract management and accreditation site visits.
Prepare and present efficient and effective presentations; facilitate the presentation of information for various audiences (agendas, minutes, reports, etc)
Assist with coordinating report deliverables for MassHealth, the Division of Insurance, NCQA accreditation and other regulatory bodies.
Maintain an adequate and appropriate inventory of office supplies including office supply budget and tracking.
Maintain current contacts database for key contacts in regulatory departments and legislative offices, both State and Federal
Manage the departmental SharePoint site
Ensure accuracy of all documents and deliverables
Project Management and Analysis
Manage the effective functioning of the Compliance infrastructure, including intranet, team sites, applications, and other project reporting and tracking tools
Maintain established compliance metrics and identify and provide data for process measurement, and indicators for future improvement opportunities
Proactively communicate and collaborate within Compliance and other internal and external business customers to understand and analyze needs by gathering user requirements, creating functional and technical requirement documents, project road maps, presentations and communications & training documentation as needed
Work independently with end-users and under direction of project managers to identify, define and document new business processes. Work within project deadlines, schedules and priorities.
Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, abstract up from low-level information to a general understanding, and distinguish user requests from the underlying true needs.
Collect data to identify root cause of problems. Measure performance against process specifications.
Survey and analyze best practices for techniques and processes.
Assist with training staff in the daily use of SharePoint portal via written, verbal or web-based and simulated training materials
Establish procedures related to project management processes (in conjunction with tools and technology)
Application of project management tools (work plans, timelines) to ensure on-time deliverables
Meticulous attention to details in all verbal or written communication
Responsive customer service orientation for internal and external customers.
Serve as the Centralized Policy Administrator to maintain currency of the organization's policy database
Department Specific Non-Essential Functions
Provide project management training on tools to Compliance and other NHP staff
Provide other ad hoc project management or business process analyst assistance for project teams, including coordination of project planning sessions or problem solving activities.
Conduct research into current and emerging web technologies. Work within the department to help develop department agendas and work plans, as necessary.
Contribute to cross-functional corporate projects, where appropriate.
Perform other duties and staff work as assigned with or without accommodation as required.
Bachelor's Degree in Business Administration, Communications, English or equivalent combination of training and experience

years experience working as an administrator or project coordinator in business, finance, law, operations or project management. Healthcare experience a plus.
Strong business analytical skills and proven record of delivering superior results
Excellent verbal and written communication skills. Experience successfully identifying, scoping and driving process improvement projects
Strong expertise in technical writing and developing technical documentation to communicate complex information to non-technical users
Strong quantitative and qualitative skills with ability to work under pressure.
Experience using MS SharePoint collaboration software to coordinate and support the business needs of various stakeholders
Knowledge of SharePoint out-of-the-box as well as more in-depth understanding of SharePoint structure and functionality (workflows, RSS feeds, alerts, site structure and permissions etc)
Manage and maintain SharePoint permissions, set up user groups and configure site settings
Ability to determine appropriate site navigation, web parts, and other SharePoint functionality to successfully organize overall site structure and content for clarity, consistency, style
Understanding of project management practices and lifecycle
Strong capability to generate credibility and trust with stakeholders and customers
Ability to listen, network, and interact professionally with a diverse group (executives, managers, and subject matter experts)
