Great Executive Assistant opportunity supporting the President and CEO of a high-growth organization located in Boston! Very fast-paced and highly team-oriented environment! Seeking candidates with 3
years of experience supporting a CEO or C-Suite executive, BA/BS preferred, strong MS Office skills, excellent communication both verbal and written, and highly detail-oriented!!
Responsibilities:
Sole provider of all administrative support to the CEO and will assist with managing Executive Team; tracking any deliverables and ensuring that they arrive in office on the dates committed.
Schedule all appointments for the CEO with full access to calendar with the ability to send meeting requests from CEO to meeting attendees.
Update all of the CEO's contacts including personal, and client and facility contacts for all business lines.
Compose letters to clients and business associates from the CEO independently and from dictation and ensure that CEO follows through on the commitments in the letters. You will also send emails from the CEO to business associates internally and externally and must ensure 100% accuracy.
Ensure that the appearance and operation of our corporate office consistently meets our company expectations.
When the CEO is unavailable, you will answer all calls to office and communicate messages to CEO accurately and handle any requests personally whenever possible.
Schedule all recurring meetings with Executive Team and create and circulate the agenda. Attend meetings to take meeting minutes and track all deliverables.
Maintain all of the CEO's files in an organized fashion and be able to retrieve any document as requested at any time.
Make all travel arrangements including flight, car, hotel, dinner; and contact clients directly to schedule meetings in an order that will allow for the most efficient use of the CEO's time when on business trips.
Update all of CEO's PowerPoint presentations that are used for investor meetings, culture meetings and various company update meetings ensuring that all information is current and accurate.
Act as a resource to the Executive Team by providing them with information as needed in order to move forward varying projects that they may be working on.
Maintain the highest level of professionalism when speaking with clients on behalf of the CEO, and provide any backup on the inquiry whenever possible prior to delivering the message to the CEO.
Will redirect inquiries to other departments whenever possible and ensure they are followed through to completion.
Requirements:

3-5 years related experience supporting a CEO or C-Suite executive or equivalent combination of education and experience.
Bachelor's degree (BA/BS) is highly desirable.
Requires specific proficiencies and very advanced skills for the following PC applications: 2010 MS Office (e.g., Word, Excel, PowerPoint and Outlook; for email, follow ups and calendaring)
Ability to think strategically, see the big picture, recognizing impact of decisions on the operation and company.
Attention to detail and strong sense of urgency with all requests and inquiries to the office of the CEO.
Must be able to communicate articulately, clearly and concisely (verbal and written) and know what, when and how to communicate depending on audience and subject matter (sensitivity and timing).
Ability to operate independently and collaboratively and have a strong, dynamic working style and collaborator and a team player.
Estimated Salary: $20 to $28 per hour based on qualifications.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
