Intellectual Property Legal Secretary
Job Description
Delivers excellent work and superior service to the firms clients; contributes to the firms reputation for excellence by providing highly efficient and effective administrative support to a legal team of attorneys, paralegals and other assigned personnel.
Principle Duties and Responsibilities
? Monitors filing deadlines noted on docket reports for all US and foreign patent applications; assists with review/clearing of docketing and communicates details to Docketing.
? Assists with the preparation and filing of patent applications and related documents with the USPTO, and ensures legal documents are processed in a timely and efficient manner complying with the firms quality control requirements and USPTO regulations and deadlines.
? Assists with the preparation and filing of Post Grant proceedings, including inter partes review, covered business method, ex parte re-examination, post-grant review and other documents in ongoing post-grant proceedings, in a timely and efficient manner complying with the firms quality control requirements and USPTO regulations and deadlines.
? Assists in the preparation of PCT applications and correspondence to foreign associates.
? Prepares routine correspondence for attorney/paralegal; creates reporting letters and legal documents utilizing in-house software/database tool.
? Creates, maintains and organizes electronic files; maintains and organizes paper files; maintains client preferences and contacts within firm applications; provides support to and maintains internal client information site.
? Assists with coordination of incoming and outgoing file transfers.
? Assumes responsibility for ensuring the efficient daily administrative operations of the assigned legal team. Communicates with attorneys and helps balance the teams workload to ensure completion of projects within established time frames and quality standards; seeks assistance from the Secretarial Resources Manager when workload demands and deadlines require.
? Possesses mastery of technology systems to include but not be limited to Word, Excel, PowerPoint and the Internet. Composes routine and non-routine correspondence for attorney review as requested and also has strong proofreading skills. Becomes expert at the firms policies and all applicable administrative procedures.
? Provides administrative support to assigned legal team by ensuring the organization of work flow, maintain files in firm application, process timesheets, client bills and expense vouchers.
? Assists in organizing work schedules by maintaining calendar and contacts, scheduling appointments and coordinating travel arrangements.
? Demonstrates teamwork by providing secretarial and administrative support to neighboring legal teams, or, as requested by the Secretarial Resources Manager, whenever workload permits; contributes to the assimilation and training of new legal and support staff.
? Assists legal team with non-client matters, which may include miscellaneous work, generated from outside activities and pro bono legal work.
? Contributes to the firms Service Excellence initiative to consistently improve its image internally and externally. Provides quality service to internal departments and external parties by interacting professionally and displaying a can do attitude via electronic and print correspondence, when answering telephone calls, taking and relaying messages, greeting visitors and coordinating attorney, client or other inquiries in the absence of the attorney. Maintains a professional relationship with other legal counsel, courts, agencies and professional organizations with whom the attorney(s) works. Acts as liaison with the firms internal service departments to ensure the provision of quality services to the legal team and Firms clients.

QUALIFICATIONS

Knowledge/Skills/Abilities:
? Excellent organizational and communication skills, ability to work independently and as a team member, prioritizing effectively, attention to detail, accuracy, problem solving, detailed proofreading, and editing are essential for success in this position.
? Ability to work overtime if needed.
Education:
? BA/BS preferred.
Experience:
? 4
years IP secretarial experience.
? Experience with Windows operating system, IPDAS, CPi, Worksite, and InterAction preferred.Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
