Essential Functions:
Special Events and Fundraising:
Provides support for the production of special events including but not limited to:
volunteer recruitment, stewardship and coordination; development of printed materials; negotiating contracts, managing vendor relationships; scheduling etc.
Working with Program Managers, Finance staff, team members, assists with grant researching, writing and submissions.
Identifies, solicits and stewards corporate sponsorships for the events and for maximizing individual sponsorships and ticket purchases.
Cultivate new sponsors for events to help meet fundraising goals.
Provides assistance with the planning of major special events according to the events timeline.
Which includes venue planning and logistics; design, printing and mailing of invitations; corporate and individual sponsorship; support and coordination of volunteer committees, and other related areas as identified.
Works closely with other staff on planning and logistics and support efforts to use events in identifying, cultivating and involving donors.
Responsible for producing invitations, registration and sponsor lists for events and event solicitations.
Provides assistance in carrying out development objectives and priorities for the entire organization Volunteer Service Recruit volunteers for corporations and individuals for donations to programs and services.
Plan Volunteer Management programs and Events to introduce Whittier and with the potential to raise donations.
Volunteer Events includes Friends of Whittier, Young Friends of Whittier, Corporate Citizenship programs, Program Focused Events.
Database Management:
Ensure that the Fundraising Software and Constant Contact are updated with donor, volunteer and potential prospect information.
Develops necessary reports, queries and exports to support the needs of the development office including financial gift reporting, actual gifts to departmental goals, proposal development and event information.
Serves as the primary source of database queries and extraction of data.
Helps to maintain coding structures in the database to ensure consistency and reliability of data.
Assigns and tracks all codes within the system, including periodically deleting obsolete codes.
Ensures the integrity of the data reported and review/audit reports to assess the accuracy of data input and the overall integrity of the database.
Initiatives corrective actions as appropriate to resolve user data entry errors.
Works with Finance Department to establish and maintain computerized journal entry of all posted gifts.
Maintains organized records of fund numbers through Finance and keep development staff/volunteers informed of special fund status as requested.
