Patient Services Coordinator III - Palliative Care & Geriatric Medicine

GENERAL SUMMARY/ OVERVIEW STATEMENT:
The Patient Service Coordinator III (PSCIII) reports to Practice Manager of the Division of Palliative Care & Geriatric Medicine at MGH.
The PSCIII provides administrative scheduling support to the ambulatory programs in the division of Palliative Care & Geriatric Medicine, functioning as the primary interface between the patient and the clinical team.
The PSCIII must be able to work independently to organize priorities, complete tasks, manage confidential patient information, schedule multiple appointment types and liaise between clinical teams and co-collaborators.
A successful candidate must be able to work independently, requiring minimal supervision and guidance.
Must be comfortable managing multiple tasks and projects, high performer capable of consistent quality work with attention to detail and well-developed organizational skills.
Highly flexible to learn and utilize an evolving electronic medical record system (Epic) and demonstrate high levels of resourcefulness and problem-solving ability.
A significant portion of this role involves interactions with staff members, providers, patients, and families, meaning exceptional interpersonal and communication skills are required.
The PSC III is a vital member of the Division's administrative team and must have a desire to continuously identify and recommend process improvements for the benefit of the division.
PRINCIPAL DUTIES AND
Responsibilities:
Completes new patient intake form, schedules patient and mail packets Addresses and triages live phone calls as needed Reviews and triages Epic clinical messages, e-mail, Patient Gateway messages Schedules patient appointments for follow up office visits Completes Epic functions, i.

arrival status, no show, cancellations, etc.
Fills empty slots in providers' schedules daily utilizing, bump list, wait list and sick/urgent visits Maintains adequate stock of new patient packets, new patient charts, follow up appointment cards, Patient Gateway cards, clinician bio printouts, and staff business cards Identifies process improvement opportunities Maintains and works new patient wait list.
Completes warm reminder calls for upcoming patient appointments Provides welcoming, efficient and strong customer service at check in/out desk Requests/receives co-pays, requests patient review pre-visit form, obtains vaccine consent as needed, process HIPAA form, process new patient information.
Utilizes page system as needed Acts as a cohesive team member Other duties as requested
Qualifications:
EDUCATION:
Minimum of high school diploma or equivalent required; Bachelor's degree preferred.
Experience:
Minimum of 2 - 5 years of directly related experience required.
