Introduction to role Working closely with the EA to the EVP, the Personal Assistant (PA) will provide critical support to the office of the EVP R&D BioPharmaceuticals and will report into and co-ordinate with the EVP EA who is based in the UK, ensuring that all aspects of the executive's professional schedule, travel, and meetings are efficiently managed.
This role requires a proactive approach to planning, tracking, and maintaining the EVP's business activities and a proactive approach to managing a complex and busy schedule.
By providing this level of support, the PA will enable the EVP to focus on strategic objectives, while ensuring that all administrative and logistical aspects of the EVP's role are handled professionally and efficiently.
Accountabilities Managing all travel arrangements (flights, trains, cars, conference registrations) and booking meeting rooms globally.
Planning regular meetings with direct reports including; objectives reviews, mentoring sessions, and early science reviews.
The PA will maintain a detailed record of all meetings to provide easy access to historical data.
Managing EVP's expenses, and serve as a deputy during business travel or holiday absences of the Executive Assistant.
Anticipate upcoming needs, make constructive suggestions, and collaborate closely with the Executive Assistant to ensure the EVP's schedule is optimally structured.
The PA will also manage the 'Actions' folder shared with the EVP, containing emails requiring action and requests for meetings.
Regular reviews of this folder with the EVP will ensure priorities are correctly assigned and actioned in a timely manner.
Planning of social events such as dinners, coffees, or lunches with colleagues or visitors at different AstraZeneca sites.
The PA will be responsible for researching and booking suitable locations for these engagements.
Provide support as needed to other BioPharmaceutical R&D Senior Leaders based in Boston.
Essential Skills/
Experience:
High School Diploma or equivalent, Advanced degree preferred.

years experience in an administrative role with direct support to VP executives or above.
Organization and Planning:
Ability to manage complex schedules, plan travel, and arrange meetings.
Experience in anticipating needs and planning ahead.
Communication:
Excellent written and verbal communication skills.
Ability to liaise with various levels of management and departments within the company.
Attention to Detail:
Maintain detailed records of meetings and actions.
Accurate handling of expense reports and other financial matters.
Proactivity:
Proven ability to think ahead, make constructive suggestions, and take initiative to resolve issues before they arise.
Collaboration:
Experience in working closely with other support staff and the ability to deputise effectively when required.
Prioritizing:
Ability to manage and prioritize tasks in the 'Actions' folder, based on the EVP's guidance.
Event Planning:
Ability to plan social events, including researching and booking suitable locations.
Adaptability:
Capability to handle changes in the EVP's calendar and reorganize accordingly.
Confidentiality:
Ability to handle sensitive information with discretion.
Desirable Skills/
Experience:
Prior experience in a similar role supporting high-level executives is highly desirable.
Experience within a pharmaceutical or biotech environment would be a plus.

Estimated Salary: $20 to $28 per hour based on qualifications.
