com/r/FM68GFV PURPOSE OF THE POSITION The Massachusetts State Retirement Board (MSRB) administers a defined benefit pension plan for eligible Commonwealth employees, retirees, and eligible employees from other authorized entities.
The Customer Service Representative supports general office operations by accurately and in a timely manner processing, distributing, and preparing all mail for the MSRB, and by providing general assistance to the various departments within the MSRB.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Knowledge of Retirement Board units, staff, and their functions.
Prepare, process, and deliver outgoing mail following established schedule.
Pick up registered mail from the building mail room when directed and deliver to appropriate persons.
Process and deliver all internal mail received from the USPS, Central Mail Room, the State House, and Computer Operations, following an established schedule.
Prepare as necessary for submission to document scanning unit.
Escort members visiting MSRB Boston office from building security desk to the reception area, and upon their departure.
Review incoming documents being dropped off for completeness, and the inclusion of necessary documents.
Date and timestamp all incoming mail and documents.
Develop ability to perform tasks associated with Board's scanning and microfilm research software.
Perform special projects and other related duties as assigned, such as walking to Ashburton to pick up and drop off items as needed.
Monitor and maintain copiers, mailroom technology, and related supplies, such as ink and toner cartridges, ensuring copy machines are stocked with paper.
OTHER DUTIES AND RESPONSIBILITIES Assist with special projects as needed SUPERVISORY RESPONSIBILITIES N/A KNOWLEDGEAND SKILLS High School diploma.
Basic computer skills, including with Microsoft's Office suite of products including Excel, Word, and Power Point.
Dependability, punctuality and strong organizational skills.
Ability to work independently and execute tasks accurately.
Maintain general knowledge of each department within Board.
Demonstration of responsive and high-level customer service skills.
Develop skills to utilize MARIS computer software and MSRB ECM software.
Self-motivated, positive attitude, and ability to remain focused on tasks through completion with the ability to adhere to strict processing deadlines.
Occasionally lifting medium to heavy mailbags, trays, office supplies and other items.
Ability to deliver mail and related items externally.
