Job OverviewThis position has the opportunity to play an active role in both the catering side and banquet side of the event process.
There will be duality of respoinsibility based on need to serve as both event manager as well ad detail specific catering groups.
ResponsibilitiesSolicit, negotiate and book new and repeat business through efforts (outside sales calls, telemarketing, mailings, networking, etc.
) while maximizing banquet space to meet/exceed revenue goals.
Execute a territorial marketing strategy to capture the maximum amount of revenue and meet and ideally exceed sales goals.
Plan, upsell and detail the meeting/function with the client including:
space requirements, times, equipment, menus, themes/decorations, etc.
Complete the contracts, prepare the appropriate paperwork, including banquet event orders, coordinate with the appropriate areas in the hotel and resolve any issues, complaints and problems to ensure a quality product delivery and customer satisfaction.
Prepare status and period end reports.
Maintain up-to-date knowledge of corporate and hotel procedures, products and competition, including their strengths and weaknesses, to continually improve sales strategies and achieve goals.
Professional and positive communication to both guests and fellow associates.
Serve as assistant to Banquet Director in all areas of need.
Understand overall operations of a banquet department in a luxury environment and be prepared to demonstrate and facilitate required service levels.
Supervise the banquet employees, interview, recommend hiring, schedule, train, develop, empower, coach and counsel, resolve problems, provide open communications, recommend and conduct performance and salary reviews, and recommend discipline, as appropriate.
Specific supervision of horsepersons, including scheduling, training, coaching and issuing of disciplinary action with oversight or guidance as needed from the Director of Banquets.
Supervise the daily operations of the banquet section (order and maintain supplies, review set-up and food and beverage preparation and service) to ensure compliance with SOPs, Banquet Event Orders, safety regulations and procedures and to ensure an optimal level of service, quality and hospitality.
Meet with Sales and Catering associates as well as the clients to review the Banquet Event Order and to review any changes, issues and/or problems to ensure delivery of a quality product.
Calculate and review the banquet checks ensuring accuracy and present the check to the customer for signature to ensure payment.
Calculate and prepare the daily gratuities and payroll ensuring accurate, prompt reporting to the Controller's department.
Monitor and control the maintenance/sanitation of the banquet areas and equipment to protect the assets and ensure quality service.
Analyze banquet event orders, Read BEO and know how to complete a set-up.
Set tables in assigned area correctly and uniformly.
Keep station neat and clean while servicing guest per established policies and procedures.
Communicate effectively with customers, managers and associates to ensure that all room setups, equipment, supplies, staffing and menus meet/exceed customer's expectations.
Able to work flexible shifts to consist of mornings, afternoons, evenings, weekend and holidays.
QualificationsEducation/Formal TrainingMore than two years of post -high school educationExperienceExperience required by position is from one to two full years of employment in a related position with this company or other organization(s).
Knowledge/SkillsRequires thorough knowledge of the practices and procedures of the catering, food and beverage, menu development and pricing.
Requires knowledge of the hotel's policies and procedures and the ability to determine course of action based on these guidelines.
Requires ability to investigate and analyze current activities and/or information involving readily available data and indicating logical conclusions and recommendations.
Must possess communication skills in terms of the ability to negotiate, convince, sell and influence professionals and/or hotel guests.
Ability to drive to outside sales calls.
Excellent comprehension and literacy required to develop marketing plan, create menus and programs, etc.

Continuous standing - function observation, client site inspections (one hour minimum to four hours maximum).
Climbing - up to 55 steps, 3-5% of 10 hours.
Driving - distance varies for sales calls (approximately 20%).
